In previous blogs, I’ve mentioned the importance of making a good first impression on a potential client. Most of the time, the first contact will be over the telephone. Since we are often in session, it is very likely that the first time a client hears our voice is on our voicemail greeting. This is why a professional greeting is so important. Identify yourself because you need to reassure the client that they have called the correct number. Clients will be a lot less likely to leave a message if they wonder who will get it. Use a warm friendly voice to say something like, “You have reached xxxx, licensed mental health counselor.” Tell clients what to do if they are in crisis. Although it seems obvious to us, clients may not realize that it could be several hours until we can return their call. I suggest something like, “If you require immediate assistance, please dial 911 or go to your nearest emergency room.” Ask for what information you need. Yes, the obvious name and number, but if it would be helpful to get their insurance information, ask for that, too. Give clients an idea about when you’ll return their call. Common business practice is within 24 business hours. Any extra messages or information you’d like clients to know. For example, if you are no longer accepting a particular insurance plan, the end of your voicemail greeting is a great place to convey that information.
Creating a voicemail greeting might not be fun, but with the scripts I’ve shared, you should have an easier time. No need to practice time and time again — simply plug in your name, company title, and other details, then read it out loud to your phone’s voicemail greeting recorder. With a professional greeting, you’ll continue nurturing prospects even if you don’t pick up the phone.
Generally, people that call and leave messages are more likely to be ideal customers of your business. Your voicemail message is often not much more than a formality to the person calling.
3. Available Agents Greeting. What callers hear when they are routed to an available agent. Sample Scripts: “Please hold while you are connected to the next available agent.”
Professional voicemail greetings for individual departments can be used to create a consistent tone and voice for the business across all departments. Prevent caller hang-up by providing them with the assistance or call back they need.
The most professional voicemail message should include a formal tone and specific instructions. For example, you may say “Hello, you’ve reached [your name], [job title] at [business name]. I’m sorry to have missed your call. Please leave your name, contact information, and reason for calling so I can get back to you promptly.”

If you will have agents in multiple queues, and would like them to be able to identify which queue the call is coming from, you can set Caller ID Prefix to a short text string which will show on the receiving handset as part of the Caller ID. For example, if this is set to SAL and a call is received from 0712345678, the handset's caller ID will show SAL 0712345678. In the Queue Timeout field, select the maximum amount of time a caller can be in the queue before they are sent to the voicemail box.

If you have set up a personal operator, you can direct your callers who need to speak to someone immediately, to "Press 0" to be connected to one of your assistants or colleagues. Another way to make sure that your callers are informed while you are out of the office is to use a Temporary Absence Greeting. For example, if you are going to be out of town on vacation for a week, you can record a Temporary Absence Greeting informing callers that you will be unable to return their call until you return from vacation. Write down your greetings before you start. It is easier to read from the page than to try and ad lib. Here are a few sample voice mail greetings to get you started: Normal Greeting (Without pager notification) "This is (name) of (company). I'm currently unable to take your call. Please leave your name, phone number, and a brief message, and I will contact you as soon as possible. Thanks." "Hi, this is (name). I�m sorry I cannot take your call right now. Please leave a detailed message at the tone along with your name and telephone number. I �ll return your call as soon as I return. Thank you." "This is (name) of (company). I'm currently unable to take your call. Please leave your name, phone number, and your message, and I will contact you as soon as possible. If this message is urgent, press 3 to have me paged. Thanks." Normal Greeting (With Live Connect) "This is (name) of (company). I'm currently unable to take your call. Please leave your name, phone number, and your message, and I will contact you as soon as possible. If this is urgent and you need to speak with me immediately, please press 1 to have the voice mail locate me. Thanks." "This is (name) of (company). I'm currently on my line and unable to take your call. Please leave your name, phone number, and your message, and I will contact you as soon as possible. Thanks." "Hello, you have reached the office of (name) . I�m presently on another call and am unable to speak with you personally. If you will leave your name and telephone number, I will return your call. If your business is off for a holiday, it's a common courtesy to update your voicemail to acknowledge the closure. Mention the closure in the beginning of the message, convey when your business is reopening, and don't forget to wish the callers a happy holiday if the occasion calls for it. If you're away from your office, check your voicemail remotely to keep up with incoming messages if necessary. Or get voicemail to email capabilities set up on your phone system.
