Businesses should have two main types of greetings to create an excellent call experience. The first one is what we call a “welcome greeting” – this greeting welcomes callers to your business. Typically, a welcome greeting will present a menu of call options like hours, location, or customer service. For more details on how to create a welcome greeting for your general business number, read this article.
You can record a personal greeting, or you can use one of the pre-recorded CenturyLink greetings. Follow the system prompts to select your greeting:
25. "Hello! Thanks for reaching out to [company]. We're closed today for the holiday, and will reopen tomorrow. If you leave your name, number, and a brief message, we'll give you a call when we're back in the office. Thanks again, and have a great day."
Thank you for calling the office of (office or department name) at Eastern Oregon University. We are currently working remotely in response to the coronavirus outbreak, and may not be able to check missed calls regularly. Please contact us at (department email) or leave a voice message. In case of an emergency please contact Campus Security at 541-962-3911. Thank you.
Your voicemail doesn’t have to be monotonous or impersonal. What you need is something that is unique to you but works in a professional manner.
Constantly receive in options the contributors who will be listening to your skilled voicemail greetings. What form of tone and data resonates with them?
Avoid background noise. Whether you have music playing in your office, or you’re sitting in a coffee shop, background noise can make it difficult for your customers to understand your greeting. Limit the noise around you when you leave your voicemail greeting.
-Hey you all, thanks for calling me today. It will be super nice if you would leave me a special and kind message so I’m encouraged to call you back.

3. Provide other ways to contact you or get information. Are there other ways your caller can get information about your business or contact you? Consider including your website or an email in your after-hours greeting.
Note: the default prioriy can be temporary overriden for Holidays. Please see the Events section.
Whether it’s an out-of-stock product, a canceled event, or social media snafu, there are times when your business may see an influx of frustrated callers. While it is important to address their concerns head-on, you may not be able to answer each call as it’s received. Make sure you use best practices for dealing with angry customers, and that your voicemail greeting sets the appropriate tone. Avoid defensive language, validate their concerns, and keep them informed as to how you are handling the situation.
15. “Hello, you’ve reached the Sales Department at [Company name]. All of our representatives are currently helping clients [insert goal such as, ‘achieve 40% growth through streamlining HR’] and are unable to take your call. Instead of putting you on hold and taking up your valuable time, please leave your name, company, and phone number and we’ll give you a call back ASAP. Thank you!”
Your message should be 20 seconds at most. Remember, your clients or co-workers may listen to this dozens of times.
