2. General Voicemail Forwarding. Thank you for calling [Company Name]. We’re sorry—it seems you’ve called outside of our regular business hours, which are 8:00 a.m.
Departments and teams are typically organized by function – customer service, tech support, sales, billing questions, etc. When a team is busy handling other calls, encourage your callers to leave a message and reassure them that you will get back to them within a reasonable time frame. It’s important that you actually follow through to avoid upsetting your callers.
.
Don’t include the date unless it’s completely necessary. 16 of the messages I heard last month had the wrong date—one of the messages had a date over 2 months old!
10. Keep It Upbeat. We’ve already got you smiling while you record your greeting, so now let’s talk about your wording. Avoiding negative words like sorry, unfortunately, and can’t goes a long away in making your voicemail a positive experience overall.
While deciding on a greeting remember that while it is important to be friendly, do not try to be cute or overtly sweet. It is not necessary to state the obvious details. It may be a good idea to change your voicemail message as often as possible. Also if you are recording a message for a business organization, it is important to let the caller know how to skip the message that is playing. If it is possible then giving an alternate number where the caller can reach you is always a great idea. Given later in this article are some examples.
As greeting messages should reflect your mood and your personality, they must be recorded with utmost care and with the right choice of words. Here are a few examples which you can make use of while recording your own greeting messages.
“Congratulations! You’ve reached the right person! It’s [your name]. Unfortunately, you’ve called at the wrong time. Please leave a message with all your contact information, and I’ll call you back within 24 hours.”
When someone reaches your voicemail, it’s important that you help them confirm that they have reached the right person by providing all of the relevant information that they will need. Who have they reached? Did they contact the right person and the right business? Should they leave a message? When will you get back to them? Is there a better time for them to call?
30. Howdy, you’ve reached [your name]. I’m at this time out of the situation of job and can return on [X date]. If your name requires urgent consideration, please name [Name] at [phone number] and moreover they’ll be cheerful to enable you to. If no longer, toddle away a message and I’ll return your name after I receive aid.
