All businesses should have professional voicemail greetings at the company level (i.e. your general business number), department level (e.g. customer service), and employee level, where applicable. Your voicemail greeting on your business telephone system is the very first thing your business associates and clients will hear when calling your company. For the first time callers, probably your potential customers, you only got a chance to provide a great first impression that will be provided by your voicemail greeting message. For the ones who frequently call your company, you would want to make your voicemail greeting prompts as efficient as possible in order for you not to waste your client’s precious time in listening to your whole voicemail greetings every time they make a call.
Use the Temporary Greeting when you want to record a greeting that you plan to use for a limited time (for example an out-of-office greeting). Press the Message Key. Enter your password, followed by the # key. Press 0 for Mailbox Options. Press 4 to record your Temporary Greeting After the tone, record your temporary greeting. Press # when finished. Follow the prompts to confirm or record the greeting again.
For each added agent, click the dropdown box, then select PBX Extensions and select the extension to add.
Example: 'Thank you for calling [insert name here]. We're sorry we couldn't take your call this time. However, if you'd like to leave us a voicemail we will get back to you within [for example] 30 minutes of receiving this message. Alternatively, if you'd like to reach out by email you can do so at [insert email address]. Again, thank you for calling [insert company name]. We look forward to your message.'

An autoresponder email message is a notification that you receive when the person you are trying to reach is out of the office. These messages typically give you (some) of the following information:
Note: If you are recording the greeting on the go using your phone, please ensure there is a default greeting uploaded in the corresponding Auto Attendant menu. It is possible to record a new one only with a temporary file being there. If you have already deleted it and you are recording the greeting via your phone, simply upload any audio file to the menu. It will be replaced with your actual message once you record it.

Try to avoid unnecessary phrases that only make your greeting longer, like “leave your name and number and what you’re calling about.” Most people know what “leave a message” means.
