It is important that you monitor your performance indicators for you to check if the slightest of changes can bring a difference to how many voicemails are received.
1. Limit Background Noise. If you’re recording your greeting from the back of a New York City cab with the windows down, it’s gonna be pretty obvious to your callers.
“Good morning. You’ve reached the voicemail of [your name]. Today is [date]. Please leave me a message with your name and contact information. Oh, and here’s my motivational quote of the day: [read quote].”
In the side panel, under After Hours Auto Attendant click Menu. Edit a Greeting for After Hours Auto Attendant
Of course, yours may need more details. But, even if you’re changing your outgoing message every day, it should only be a slight variation from a standard greeting.
On the support option, it will check if the business is open and, if so, send the callers to a queue. If there is no answer, it will then ring mobile numbers. If the business is closed, the caller will be played an after hours message, then directed to the mobile numbers. If there is no answer, the call will be returned to a voice mailbox on the PBX.
After you have stated in your business voicemail greetings what you want the clients and customers should do when leaving a message, it is important to remember that you keep your voicemail messages short and concise. Use smaller and simplified words rather than business jargon your customers will not understand.
Here’s a simple clinician voicemail script if you want to keep your message to the point. Hello. You’ve reached Highland Family Counseling Services. We are currently unable to take your call, so please state your name, phone number, and a detailed message after the beep. We will return all calls within two business days.
6. "Hi, this is [your name]. I'm either on a call or away from my desk. Please leave your name, number, and a brief message and I'll get back to you. Thank you."
