A word of warning: These greetings will not do you any favors if you’re in the midst of a job hunt or work in a conservative industry. Always remember your target personas. If there’s a chance they won’t appreciate your sense of humor, opt for a straightforward greeting instead. “This is Bond. James Bond. Okay, it’s really [your last name]. [Your first name] [your last name]. I’ll get back to you as soon as I’m done helping M16 save the world — which will probably be tomorrow at the latest. Have a good day.” “Hmm. Gryffindor … No, Ravenclaw. Yes, you definitely belong in Ravenclaw. *Pause.* Okay, you haven’t reached the Sorting Hat — it’s the voicemail of [your name]. Please leave your name and number (and just for fun, the Harry Potter house you think you belong in) and I’ll return your call as soon as possible.” “Hello! You’ve gotten the voicemail of [your name]. Leave your name, contact info, and the answer to the eternal question ‘Which came first, the chicken or the egg?’ Anyone who gets it right will receive a call back.”
For those with voicemail greetings that get changed about as often as a new president is elected, know that this is doing a serious disservice to the caller-recipient relationship. It signals to callers that the business is anything but an authority, most likely not very detail oriented, and has questionable overall credibility and competency.
When recording, choose a quiet area, speak clearly, and use your full name (first and last).
3. Answering Services Script. Thank you for calling [Company Name]. If you hear this message, you are calling outside regular business hours, which are 8:00 a.m.
If you drone on and on, there is a good chance that some of your callers are going to hang up before leaving their message.
We don't have a Help Desk voicemail. Our rationale is that if there's a call during work hours someone will pick up. That's our guarantee as our number is only for emergencies. If the call is after hours, then it must REALLY be an emergency (C-level or high level manager) so one of us will answer. Anything else goes to the help desk.
If you will have agents in multiple queues, and would like them to be able to identify which queue the call is coming from, you can set Caller ID Prefix to a short text string which will show on the receiving handset as part of the Caller ID. For example, if this is set to SUP and a call is received from 0712345678, the handset's caller ID will show SUP 0712345678. In the Queue Timeout field, select the maximum amount of time a caller can be in the queue before they are sent to the mobile overflow.
Make sure you don’t use a monotone voice when you record your business voicemail greetings. Use inflection in your voice so you don’t sound like a robot.
Random facts could include their favorite movie, vacation spot, candy, or television show. Regardless of what you choose, it will surprise your caller and more than likely make them leave a message if they were considering hanging up.
