When recording, be sure to say your message with a smile on your face. It’s obvious when people aren’t happy in their message. Since your work revolves around keeping happy customers, do your part by keeping a happy-sounding voicemail message. Don’t rush. It’s important to speak slowly and clearly when leaving your next voicemail greeting.
Of course, there are a few things you will always want to keep in mind when you are recording any message. First, a voicemail greeting can be your first impression, so you'll always want to take the time to think about what you'll say when you record it. You might want to write a script or just go over what you'll say in your head. Be sure to ask callers for their name, a message, and a call back number, or you might get stuck with "Hey, it's me, call me back" (I'm notorious for leaving messages like this). Be sure you practice speaking slowly and clearly as you deliver your short, to the point message. It's also a good idea to leave 1 to 2 seconds of silence before you begin speaking, so callers have time to absorb your message. Being that I have been at Holdcom for a few months now, I decided it was time to change my cell phone voicemail greeting to something a bit more polished. Keep in mind, I have had the same voicemail message for probably 6 years, just transferring the same greeting every time I would get a new phone. Since I never hear my own voicemail, I never thought about changing it. Little did I know, my voicemail message could easily be working against me, and it took me this long to notice?!

4. Minimize delays due to errors on documentation. Insureds often make errors before sending documents such as a change of title for filing. Often, these errors are minor and easily preventable, but the documents are refused and the process must be started over again.
