In previous blogs, I’ve mentioned the importance of making a good first impression on a potential client. Most of the time, the first contact will be over the telephone. Since we are often in session, it is very likely that the first time a client hears our voice is on our voicemail greeting. This is why a professional greeting is so important. Identify yourself because you need to reassure the client that they have called the correct number. Clients will be a lot less likely to leave a message if they wonder who will get it. Use a warm friendly voice to say something like, “You have reached xxxx, licensed mental health counselor.” Tell clients what to do if they are in crisis. Although it seems obvious to us, clients may not realize that it could be several hours until we can return their call. I suggest something like, “If you require immediate assistance, please dial 911 or go to your nearest emergency room.” Ask for what information you need. Yes, the obvious name and number, but if it would be helpful to get their insurance information, ask for that, too. Give clients an idea about when you’ll return their call. Common business practice is within 24 business hours. Any extra messages or information you’d like clients to know. Please speak very slowly, make it short, make it sweet, and I’ll deliver the message to them. Using other household appliances as stand-ins for the message center is cute and funny. This voicemail will warn callers not to bring drama, so you can save yourself the trouble of having to hear a message that was about to spoil your day.
Recently one of my students asked a great question about voicemail in English and I thought that you might have the same question as well.
“Hi _________, this is _______ ________ again with (your company). For some reason we haven’t been able to connect since I sent you (your demo, proposal, etc.), and believe me, I’ve been sales long enough to know what that probably means. I’m assuming you’ve either found another solution or this has been put on the back burner for now. Either way, that’s fine.
check words for the English /oʊ/ vowel. Many non-native speakers make this more like a single vowel and it’s a double vowel so it should have /o/ and /ʊ/ smoothly joined together. Check it in the word ‘phone’ . Another double vowel to look out for in your Voicemail Greeting example is the diphthong vowel /eɪ/. This vowel is in words like ‘wait’ and ‘able’. Many people use the word ‘can’t’ in their Voicemail greeting example. This can be a trap for non-native English speakers. That’s why we chose ‘unable’ instead! Watch out for the word ‘can’t’! In American English and British English the vowel in ‘can’t’ is pronounced with the vowel /æ/ like in ‘pat’ – /kænt/.
At the least, the recording should include your name, the name of your company and your office hours. You can also include the best way to reach you—such as an email—and provide that contact information. If they can leave a message, let them know in the message.
