I have a confession to make: I haven’t recorded a new voicemail greeting since 2014. In the past four years, I (hopefully) have become more articulate, poised, and self-assured. But hear my voicemail recording, and you’d think I was still new to the work world, a little unsure of myself — and probably not an authority. Obviously I need toupdate it. And if you haven’t changed your voicemail greeting in over a year, you’re likely in the same boat. After all, a professional voicemail recording boosts your credibility, makes you seem more competent, and encourages whoever’s listening to it to continue the relationship. A relatively unprofessional one — like mine, for instance — does the opposite: It encourages prospects, recruiters, and potential connections to run in the other direction. With that in mind, I’ve written 18 unique voicemail greetings for every situation. Pick your favorite, practice a few times, then record your new voicemail.

You can’t just make any voicemail message and think that it’s going to be the right fit, your voicemail messages need to have the following tips below so that it can function as a lead capture when you’re not present.

8. “Thanks for calling [your name] at [your company]. I didn’t mean to send you to voicemail but I am either on the line with another client or on the go. Leave your name, number, the reason for your call today and the best time to call you back. I’ll speak with you shortly! ” Your caller probably wanted to reach you, not your voicemail. Advise your caller that you’re simply on the line with another caller and you’ll be right with them.
*Use the word “with” instead of “to.” It sounds more positive. You want to talk “with” the person, not give them a “talking to.” It’s a subtle difference, yet it keeps the message positive.
While straightforward is always the safe bet, certain entities can go to the humorous side of voicemail greetings. Before taking this route, consider the type of callers and the persona the recipient is trying to convey. Since (insert name) isn’t available at the moment to take your call, but will promptly return it should you decide to accept your mission and leave your name and number, we have a very important question to occupy you in the meantime.
