It makes sense to have an after-hours / weekend voicemail greeting for important teams at your business so that your clients feel confident that they will be taken care of. You may also suggest alternate resources like a help forum, knowledge base, or online chat to support customers while closed, if available.
"The way I see voicemail is that the main purpose of it is to direct the prospect to your email. You only really have five or 10 seconds within that voicemail to capture their attention, so I have a specific script that I use which makes sure that they know who I am and where I'm calling from so that they can go back to their inbox and then search it up...I'll say, "Hi Scott, this is Florin calling from Loopio. I sent you an email yesterday regarding improving your RFP response process. But I have not heard back from you. Can you give it a quick glance and reply back? Again it's Florin calling from Loopio.'"
The voicemail function allows the caller to leave a message in case you are busy. It informs the caller of your status and assures that the message will be heard. For instance, good voicemail greetings at corporate firms create a pleasant impression on the caller’s mind or a hilarious voicemail can make someone’s day.
To improve a a business voicemail greeting, keep these eight rules at the forefront of the creative process: Avoid turning customers off with overused and impersonal phrases like “your call is very important to us..." Avoid leaving customers unsure by not immediately telling them the business, department, and/or person they’ve reached. Avoid leaving customers confused with too many details and complications; just keep it simple. Avoid messages longer than 25 seconds. Do apologize for being unavailable at the moment. Do invite the caller to leave a message. Do tell the caller when they can expect a return call and actually follow through within that timeframe. Your voicemail recording should include several key elements to communicate with your customers. The most important parts of your greeting are: Announcement and identification (“Hello! Of course, yours may need more details. But, even if you’re changing your outgoing message every day, it should only be a slight variation from a standard greeting.
These issues limit the quality of the recording because the amateur actor doesn’t know how to speak with the proper enunciation and cadence for phone system recordings, and there’s no experienced director handy to provide guidance.
