Share with your caller when they can expect a callback. If you return calls within 24 hours, let them know. Give them an estimate of when they can expect your call.
Hello. You’ve received Laura Brown in the Accounting Department. I’m not able to take your call right now but please leave a detailed message and I’ll return your call within 24 hours. Thank you.
What happens here is when you apologize and sound genuine in your tone, your prospects would understand and leave their contact details for you to follow with them.

Maybe I sparked a little creativity in you. Or maybe you already have the world’s greatest voicemail greeting. Either way, please share in the comments below:
Before you record your automated attendant script, have the person you selected to read it rehearse it several times in front of you. Use this to fine-tune pronunciation and annunciation. After the new greeting is recorded, call your phone system immediately to check the recording for errors and make sure all options announced work as intended.
3. Communicate with non-English speaking customers. Most claim adjusters are not multi-lingual, and many insureds don’t speak English, which can lead to frustrating experiences.
Recently one of my students asked a great question about voicemail in English and I thought that you might have the same question as well.
In Australian English it’s pronounced with the vowel /a:/ like in ‘part’. Problems arise when people use the /ʌ/ vowel (like in ‘up’) instead of /æ/ or /a:/. If you do this is will sound like the worst swear word in English. Many non-native speakers often pronounce the vowel /æ/ more like /ʌ/ because they don’t have a vowel like /æ/ in their first language. Many speakers of European languages will do this (Spanish speakers and Italian speakers) and also speakers of Japanese and Korean. This problem with /æ/ also means that if you say the word ‘back’ in your voicemail greeting sample, you are likely to pronounce it more like ‘buck’. remember to pronounce word endings in English. Check you aren’t dropping any endings off or mispronouncing them.
The next example is for a voicemail message left for a prospect or client you are getting back to: “Hi _________, this is ________ _________ getting back with you at (your company). I’m looking forward to speaking with you because we just (give an update here – you have a new special, new product update, added a new client they would know about), and I know that based on (their specific need you uncovered during the last call) this is going to make it even easier for you to (give the benefit you both discussed). I’m excited to share this with you.
Motivation: The aim of a professional voicemail is to keep the caller on the line long enough to listen to your message. You do that by motivating them enough to listen and leave their message.
Reassuring the caller that they contacted the correct number or reached the person they intended helps reduce the number of hang-ups and wasted messages you’ll receive. Here are a few notes on how to leave the best greeting possible, along with some voicemail message examples you can use in your own company!
