Let’s be honest, you (hopefully) set up your voicemail when you first got your phone, and it probably hasn’t changed since then. If you’re about to start job-hunting, now is the perfect time to refresh your professional voicemail greeting.
The basic rule of thumb is that callers should hear one of two things when they first connect with your voicemail — either an apology for not being able to answer the call or a “thank you” for having called. You can do both if you prefer, but keep it short and to the point.

On-hold music or a custom message keeps your callers engaged while they are being forward or transferred to an extension. You can also upload a recording advertising your business's products and services.

3. Offer Clear Next Steps. For many small businesses, the announcement will send the caller straight to a voicemail box. But larger organizations may decide to direct callers to a phone menu or forward the call to an external destination, depending on the situation.

When choosing Always Forward or Selectively Forward, check the Send to Voicemail check box to forward all calls to an internal voicemail. The Send to Voicemail check box is disabled when an external number is entered.
