Motivation: The aim of a professional voicemail is to keep the caller on the line long enough to listen to your message. You do that by motivating them enough to listen and leave their message.
23. Hello, thank you for calling [business name]. Please leave your name, number, and a brief message, and a member of our team will return your call within 24 hours.
The thing with voicemail is it can be really handy when it comes to catering to your prospects when you are not available after work hours.
"The way I see voicemail is that the main purpose of it is to direct the prospect to your email. You only really have five or 10 seconds within that voicemail to capture their attention, so I have a specific script that I use which makes sure that they know who I am and where I'm calling from so that they can go back to their inbox and then search it up...I'll say, "Hi Scott, this is Florin calling from Loopio. I sent you an email yesterday regarding improving your RFP response process. But I have not heard back from you. Can you give it a quick glance and reply back? Again it's Florin calling from Loopio.'"

In previous blogs, I’ve mentioned the importance of making a good first impression on a potential client. Most of the time, the first contact will be over the telephone. Since we are often in session, it is very likely that the first time a client hears our voice is on our voicemail greeting. This is why a professional greeting is so important. Identify yourself because you need to reassure the client that they have called the correct number. Clients will be a lot less likely to leave a message if they wonder who will get it. Use a warm friendly voice to say something like, “You have reached xxxx, licensed mental health counselor.” Tell clients what to do if they are in crisis. Although it seems obvious to us, clients may not realize that it could be several hours until we can return their call. I suggest something like, “If you require immediate assistance, please dial 911 or go to your nearest emergency room.” Ask for what information you need. Yes, the obvious name and number, but if it would be helpful to get their insurance information, ask for that, too. Give clients an idea about when you’ll return their call. Common business practice is within 24 business hours. Any extra messages or information you’d like clients to know. For example, if you are no longer accepting a particular insurance plan, the end of your voicemail greeting is a great place to convey that information.
Keep in mind that short greetings are often much better then trying to say way too much that could confuse your callers. Some pointers to ask, “please leave your name and number”, or maybe ask them to go your business website to contact you by email, or even as simple as text.
the currently selected Non-Busy Greeting option. For example, if the Non-Busy Option is 0, then callers encountering a busy extension will hear the same greeting heard when the extension is not answering or call forwarded always to voice mail. Conditions and Feature Interactions For proper operation, the phones should be programmed for Call Forward - No Answer and Call Forward Busy conditions for both internal and external calls. If programmed for Call Forward - Always, the voicemail system will not know the state of the phone and use the Call Forward No Answer prompts. Mailboxes configured not to play a personal greeting still offer the user the option to record one via the User Options menu. The personal greeting, if recorded, will be ignored.
Check the Enable extension dialing without requiring a menu item check box to allow callers to directly dial an extension at any time.
6. SMILE. Okay, this one isn't actually a phone greeting, but a smile will make every greeting better. People are programmed to mimic the mental and emotional states of those around us, and we can hear whether or not the person on the other end is smiling.

35. Hi, you’ve reached the voicemail of [your name] at [your company]. I’m away from my desk, in a meeting or on the other line. Please leave your name, number and a brief message after the tone and I will get back to you as soon as I can.
Sure, web enquiries, social media and email have their place, but the telephone still remains the primary point of contact for many customers. Professional telephone etiquette can impact a positive first impression, which more often than not, influences the caller’s behaviour and actions towards your business.
