Making an outline of the call flow and writing out scripts for each phase and menu in it can help ensure that there are no gaps in the process from start to finish. This way, callers can reach the voicemail recording in the first place.
12. “Hello, you’ve reached the Customer Support department at [company name]. We are unable to take your call at the moment. We know your time is valuable so instead of placing you on hold, let us call you back! Please leave your name, phone number, the reason for your call, and two different times that are convenient for you to receive a call back from us. Thank you!” Get a better idea of your caller’s schedule by asking them for a few different times you can call back. Their time is important, too!

While they are listening to your voice, they are internally deciding whether or not it is worth their time to continue or hang up. Look at your voicemail message as its own short advertisement.
In the side panel, under Holiday Auto Attendant click Schedule.
If the mailbox is NOT setup, the fixed system message, "I'm sorry, the person you're trying to reach is unavailable at this time" plays instead of the personal greeting and the mailbox number plays instead of the mailbox name.

The first impression your customers hear should be a great one. So, make a great first impression with professional greetings to welcome your callers.
If you only check and return messages once a day or once a week, let your caller know. This will avoid multiple messages by the same caller.
1. State Your Business Name. The first thing your callers should hear is the name of your business or organization. This assures them that they have dialed the right phone number and keeps them on the line.
When on vacation, provide your callers with a return date and a back-up contact person to accommodate emergencies. This prevents you from potentially damaging a valued relationship while you enjoy some time off.

Please leave us your name and phone number and our team will get back to you as soon as possible. Enjoy [holiday] and thanks for calling [company name]! If you do happen to be open the holiday season, it’s important to provide holiday hours. Especially if your hours vary from your regular hours.
