In the video lesson, I shared this example for a common voicemail greeting in English:
8. Select a standard greeting, or create a custom one. You will usually be given the choice to either select a standard greeting or record a custom one.
.
Record a Greeting. From your business phone, press *98. Or, from any phone, call your business phone number, and then press * to skip the voicemail greeting. Enter your mailbox PIN. For mailbox settings, press 4. For greetings, press 3. Do one of the following, and then follow the prompts: To record a personal greeting, press 1.
For those with voicemail greetings that get changed about as often as a new president is elected, know that this is doing a serious disservice to the caller-recipient relationship. It signals to callers that the business is anything but an authority, most likely not very detail oriented, and has questionable overall credibility and competency. Those aren’t traits that any business wants to associate itself.
30. Hi, you’ve reached [your name] at [your company]. I’m unavailable right now on official duties. But if you leave your name and number and a brief message on why you are calling, I will call you back at the earliest opportunity.
Generally, people that call and leave messages are more likely to be ideal customers of your business. Your voicemail message is often not much more than a formality to the person calling.
5. 'Hi, XYZ speaking.' It's not great for a front-line call, but excellent if you're answering a line that's already been fielded by a receptionist or other teammate.
Give your business a local presence in multiple locations by using a Chicago, Los Angeles, New York, and/or Miami phone number, for example. We have numbers available in almost every area code in North America.
4. 'ABC Company. This is XYZ, and how are you today? ' This option is tricky, but can work well for companies that bank on personalized service and friendly interactions with clients.
20. “Hello! Thanks for reaching out to [company]. We’re closed today for the holiday, and will reopen tomorrow, [date]. If you leave your name, number, and a brief message, we’ll give you a call when we’re back in the office. Thanks again, and have a great [day, week].”
