Keep a pen and paper next to you. Keep track of calls by writing down the person’s name, the time he or she called, and the reason. It’s best to write the information on a phone memo pad with carbon. This keeps the calls organized in one place, and when it isn’t for you, you can give a copy to the intended recipient.
I don’t know about you, but I’m shocked every time I listen to a voicemail message left for me by sales reps, prospects and even clients. They are filled with ‘um’s’ and ‘ah’s’, they ramble on and on, they leave no compelling reason for me to call back, and they almost always leave their number so fast that I have to listen to it two, three, sometimes four times to make it out!
If they are calling without an expectation that you always pick up (such as if you are a business coach or a one-man shop) then thanking them for calling might make the most sense.
