1. Start with a warm greeting. It’s only polite to say “Hello”. However, don’t forget to ask the caller to stay on the line and wait.

Having an on hold message or on hold recordings for your business makes all the difference. Recent research shows that promoting your business’ services, or educating your customers through an on hold message not only improves the customer experience – but increases the likelihood of a prospect becoming a customer. We’ve been helping businesses for years to improve their telephonic marketing through well crafted on hold messages.
Waiting queues allow your callers to wait on you on the line but you should not exceed the waiting time for more than 5 minutes. A queue announcement can also be introduced after the “message before answering”. After the “message before answering”, the waiting announcement is immediately cut.
USA Business Telephone Today conducted a survey of 30,000 callers to study the effects of hold music, or the lack of it, for a single minute. More than half the callers who were put on hold without any auditory stimulation hung up. The silence affected the rest of the group’s perception of time: More than 27 percent thought their wait time exceeded five minutes, and 18 percent thought it exceeded three minutes. Only 3 percent judged their wait time to be close to the actual one-minute timeframe. All of the callers in the study had listened to dead air for only 60 seconds.
So, given that hold music is such a powerful potential source of frustration, why do companies continue to get it wrong? Reading the articles that are out there, there seems to be a lot of speculation regarding the best choice of music to placate or even entertain customers while they wait in your queue. Some common suggestions include “Hanging On The Telephone” by Blondie, or Lionel Richie’s “Hello, is it me you’re looking for?”. Or how about looking up the customer’s record in your call centre CRM, grabbing their date of birth, and playing something based on their age range - pop for the under 25s and presumably something fusty for the oldies?
Professional, quick and easy. No matter what type of phone system you have, we can make it sound amazing with professional messages! It makes sense to have your own professionally produced messages on hold… especially when the alternatives are daggy music, obnoxious commercial radio or worst of all – dead silence!
The more frequently your callers hear that (or any prompt), the less they believe you.
3. HELP PROCESS CALLS FASTER ONCE THEY CONNECT. If you add preparatory information to your Message-On-Hold messages, you can actually improve the speed at which calls are processed and improve call handling time metrics.

Suddenly, your optimism regarding the call takes a nose dive as your Customer Service Representative says flatly, “I’ll have to put you on hold while I look into this for you.” Or, worse yet, “Let me transfer you to the right department. You’ve reached the [insert the name of a department that has nothing to do with your needs] department.”

We have just signed to transfer over to Birmingham Telecom in the last week, the transition is not due to take place for a few weeks, but our phone and internet line was cut last week. Very positive, knowledgeable, and supportive staff.
