It depends on your business industry, type of callers and marketing plan. Assuming that you take a profit driven approach to using your telephone on hold messages as a marketing tool, you will want to consider changing at a minimum of twice per year, however its best to be more proactive and update more often like quarterly or even monthly. Callers love something new and refreshing (don’t we all!), particularly those that frequently call back and are placed on hold! Why not inform them them of special promotions, new products, or customer service info – there’s always something more that can be said! Make the most of your telephone’s on hold messaging infrastructure. It is an effective way to win, retain, and sell your callers on hold.
Before you start, check with your IT support team or phone system vendor to see if there are any special requirements you need to be aware of. Things like: How long can the recording be? What type of audio file does it need to be? Is there a maximum file size?
When used in your On Hold Marketing, humor can improve how customers perceive your company and their wait on hold. It also lowers your callers’ defenses, leaving them more receptive to your marketing messages.
Calls overflow to the voicemail box if they can’t be answered during business hours. This may be during unusually busy periods or if there is no one to take the call.
Seasonal and time sensitive message encompass information that may be relevant for a limited period. Common areas of focus might be season products – such as pools or outdoor equipment, special events and holidays, disease awareness and prevention and time limited promotional discounts.
Verbal Content – generally, you should use 100 words to make up 1 minute of content produced with background music. In other words, one to two paragraphs per minute. The topic can range from product promotions to general company information.
Generic pop songs perform better than those with prosocial lyrics or instrumental music. It turns out people calling in with grievances don’t want to hear songs about helping the world, and stereotypical elevator music triggers anger when on hold for extended periods.
