Though it can be convenient and cost-effective, don’t let Bob from the copy room record your telephone voice messages. Phone communications represent a crucial component of a successful business. Whoever you pick will become the voice of your brand and business. When choosing a voice for your on-hold recordings, your target audience should be the most important factor. Who would one of your prospective clients take advice from? Who would they find the most captivating and trustworthy? Whether they’d prefer a conversation with a friend, command from an authority figure or advice from their mom, keep your audience’s needs at the forefront when listening to voice samples. Concept & Copywriting Directing & Producing Latest Audio Formats I'm a small business. Do I need professional recorded messages? Yes, you do! The size of your business has no bearing on its quality and professionalism. Whether you have a team of 200 employees or you're the one and only, having a professionally recorded message puts your business in a different category. This level of quality and attention to detail is a testament to your professionalism and dedication. On-hold programs vary from industry to industry. A doctor may tell you what insurance coverage they accept, while an auto body shop may want to share directions for after-hours drop-off information. Regardless of your industry, there are a few things all businesses should consider including in their on-hold program: Of course! In most case, we do recommend the use of music. Music is essential to most productions. At Migrate Sound, we spend countless hours looking for the right piece of music. When the music is right, your audience will go from being interested to being attentive and absorbed into your story or message. This is a subjective matter and can only be answered comparatively with other businesses providing the same services. We are probably more expensive than those online services. Some of these guys will sell you a fully produced message for $25. That said, we are definitely less expensive than those large Hollywood studios who charge a whopping $350 an hour. We are a small business in Santa Clarita, California. We care about the quality of our product, and more importantly our clients. We're happy when you're happy and we will do whatever it takes to get you there. Audio is our business and we've been doing it for many years.
Why would you spend hundreds or thousands of pounds enticing new customers to call your business only to provide them with an initial experience that is less than stellar and doesn’t reflect your business’s brand? Why wouldn’t you utilise this opportunity to market your business services and products to a captive audience?

I haven't used this device for an extended period, but since there are no mechanical parts, I expect that it will last. We have been using a professional on hold service for many years at about $60/month. The box that the professional company gave us sounded great when customers would call from a Lan Line. But, when calling from cell phone the voice messages were lower volume and the music would sound horrible. Music keeps cutting in and out and sounds very staticky. So we decided to save some $ and cancel our subscription and buy this unit. We are using the default music and voice messages that came preloaded instead of doing our own music and messages.
I need more options for hold music. Having fast classical guitar in minor key is not what our anxiety patients want to hear. Slower, happy jazz would be better. Anna commented · April 1, 2019 5:21 PM · Flag as inappropriateFlag as inappropriate · Edit… · Delete…
If you use social media to promote your business or have a newsletter, make sure your Client Relations representative and Script Consultant are on the distribution lists, so they can be sure to include any relevant content.

Here are a few things to keep in mind to have a killer script your callers will be receptive to: Speak to your audience: When creating a script, make sure you know WHO you’re talking to above anything else. Is it moms, teenagers or middle-aged men who like golf? Appeal to their interests in relation to your business with a captive voice, and they’ll be much more willing to listen (and be patient while doing so). Time it appropriately: You know your business better than anyone else, so as such, you’re probably aware of a caller’s average hold times. While this can vary with growth and other factors, make sure you record enough messages to fill the time so a caller isn’t stuck hearing an eternal loop of the same 3 messages. They’ll thank you for it by being far less irritated. Stay current: Some companies have seasonal sales and changes, so including this in your script as the year progresses means you remain relevant with the latest and greatest. For example, during the holidays you can say “Seasons greetings from Fletcher’s Flowers...” or something similar. You can also include event notifications, advertisements, and other informational messages so they learn more about your business. Be natural: Think about how you’d like to be talked to. Typically, a robot isn’t the first thing that comes to mind. Writing for auditory purposes elicits a different approach than writing for digital or print. Make sure whatever your script is that you read it aloud, and test it out on coworkers or friends. If they get bored or disengage, chances are, your callers will too. Know their path: What’s your end goal for what you’d like your caller to accomplish? Tailor your messaging to them based on what you come up with. If you’d like to upsell, consider using some on hold time to discuss a company-wide promotion they can take advantage of, or a fun fact about your industry they wouldn’t know. Give a call-back option: If your phone system has the feature and a caller doesn’t have time to spend on hold, offer them the option to receive a callback without affecting their position in line, or to leave a message. This can alleviate the stress of waiting.
Unfortunately, it gets worse. Due to general sloppiness when it comes to setting the volume level for music on hold, a form of distortion known as “clipping” can appear, and regularly does if you’re willing to believe personal anecdotal evidence. If you want to know about the science behind clipping, then Wikipedia will tell you everything you need to know, but for those of us who have things to get on with, we can get by just knowing that when something is played too loud down a phone line, the sound starts to distort and sound really horrible.
These examples demonstrate how on-hold messages can offer vital information in an emergent situation such as how you will communicate with their pet’s primary care veterinarian, what constitutes an emergency, payment options, and build pet-owner loyalty.
