The tone of your voice when leaving sales voicemails is almost as important as the actual words you say. If you obviously sound like a salesman, your message will be deleted before it even ends. You want to speak in a tone of voice thats friendly, confident, and casual—not overly excited, nervous, or desperate-sounding.
Find some common ground. If you’re cold calling someone, your voicemail is your 30 second chance to make a connection and leave a good impression. One of the best ways to make a connection in that short amount of time is mentioning a mutual acquaintance. You could also mention a shared affiliation with an organization.
To access voice mail settings in Outlook for PC, select File > Manage Voice Mail.
2. Press the Star or Pound Key. Depending on your carrier, you will likely push one of these two keys next. It's more common to push the star key. When you hear your voicemail start, that's when you should press either the star (*) or the pound (#) key. For AT&T, Sprint, U.S. Cellular, and T-Mobile, press the star (*) key. Yes, you can make an email personalized, too. But voicemail is already much more personal than an email, and your level of customization should rise to meet that. Plus, if you’ve spoken with the contact in the past, there’s an even bigger opportunity to build on what you already know and cater the message to them.
On the "Voicemail greeting" tab, click on the "Record a greeting" button to record the voicemail greetings. A voicemail's time is approximately is around 10 seconds, wait for it to finish. Once done recording, click on the "Stop" button at the center of the recording tab to end it.
You can set up stutter dial tone through your account portal. With this feature on, you will have a stutter dial tone, instead of a normal dial tone, if you have a new voicemail.
But the key to success here is knowing what to say on the second and third voicemail/email attempts BEFORE picking up the phone.
With so much stacked against you, why bother? Because the responses to sales voicemails are generally of a much higher quality. What you lose in response rate will be made up for in conversion rate—if you know how to leave quality messages, that is.
