Rehearse or write down your message before recording it. Remember that old saying “practice makes perfect?” It’s certainly true when it comes to creating an electronic greeting. The more you’ve rehearsed, the easier the message will be to restate. If you don’t have time to practice, writing down the greeting before recording it – and then reading it aloud from the paper – may help you stay focused on the correct wording.

My first tip for you today, is to write it down and when you are ready to record simply read it out.
Your second voicemail should include information that was missing from your first. For instance, a rep using this technique might leave the following two messages:
"When closing your voicemail, say that if you do not hear from them in three days, you promise to call back. Three days later, start your voicemail (or live call if you reach the person) with, 'As promised, I am calling again to share...' Close with, 'If you haven't had a chance to return my call, I promise to call back in two days.' Two days later, call back and open with, 'As promised, I am calling back...' The message you are sending is that you keep your promises!"
If I get a message like that – I would be wondering: Who is me? I still like it when people leave their name, I don’t have to be guessing who is calling.
“Hi _________, this is _______ ________ again with (your company). For some reason we haven’t been able to connect since I sent you (your demo, proposal, etc.), and believe me, I’ve been sales long enough to know what that probably means. I’m assuming you’ve either found another solution or this has been put on the back burner for now. Either way, that’s fine.
Press one if you’d like to leave a message. I’ll be glad to return your call as soon as I can. Right. And Santa will bring you toys if you’re a good little boy.
If you are seeing a message on the screen of your cordless handsets that you have a new “Voice mail”, then that should mean that you DO still have the AT Voice Mail system answering your calls and storing the messages there and not on your phone. Here's an advanced technique for all you overachievers. It's "advanced" because it's rarely used, not because it's difficult. The trick? Leave two sales voicemails instead of one. Let us explain:
Hello and thank you for calling, [Company Name], where [state your short company slogan]. If you know the extension of the party you are trying to reach, you may dial it at any time. To speak with a Sales representative, press 1. To reach a Customer Support agent, press 2. To reach our Billing department, press 3. The right way to leave your phone number is to start saying your phone number with your area code and then take a 2-3 second pause while the person listening to your voicemail message gets a pen and paper. Then, continue with the next 3 digits, make another 2 second pause, and then say the last 4 digits. Then, slowly repeat your phone number again.
