When we call our friends and family, we often call and hang up without leaving a voicemail -assuming the missed call will be notification enough that we want this person to call us back. Even though this is acceptable to do in our personal lives, phone call etiquette in the corporate world plays by different rules.

Being personable is key in having your caller look forward to receiving your callback. To do this, use different intonations in your voice to convey enthusiasm.

State your name first. You would think this would be so basic that it shouldn’t even be mentioned. However, I can’t count the number of times I’ve gotten voicemails where people go on and on and I don’t even know who’s talking to me until the very end. Pretty annoying.

As for deciding whether to use your voice or your keyboard when communicating with a client, ask yourself, who am I contacting? What am I contacting the individual for? Reassuring the caller that they contacted the correct number or reached the person they intended helps reduce the number of hang-ups and wasted messages you’ll receive. Here are a few notes on how to leave the best greeting possible, along with some voicemail message examples you can use in your own company!
These are legitimate questions and the answers will vary depending on your industry and individual prospects. In all honesty, your response rate with sales voicemails probably won't be high—the average response rate for a prospecting voicemail is between 4-6%, industry wide. You'll probably see more engagement using email. And leaving the perfect message takes planning and practice.
Most importantly, have fun with it. If you don’t enjoy leaving a voicemail, you might not be in the right job. Voicemails can add value, whether or not a prospect calls you back right away. Even if it triggers an email response or call-back six months down the line, it’s valuable. The better your voicemails, the more likely you’ll get a response. Friends and colleagues speak to each using first names only. So do people of authority. They do not call each other and leave voicemail messages asking for Mister, Miss, or Mrs. Therefore, when you call a person you want to do business with and you leave a voicemail message, refer to them by their first name only. Don't say mister, miss, or misses. Don't say their last name. Begin your voicemail message by saying only "hi/hello" followed by the person's first name. Or, you can even forget the "hi/hello" and just say the person's first name. That is how you show confidence and authority and separate yourself from weak salespeople.

No need to practice time and time again — simply plug in your name, company title, and other details, then read it out loud to your phone’s voicemail greeting recorder.
