Knowing what you’re going to say before you dial – and even running through the script a couple of times – can make you feel more in control. If you want to know exactly how you’ll sound and where improvements have to be made, leave yourself the voicemail and listen to it back. You can also use a breathing exercise to help yourself relax and keep your voice steady.
Hello, this is Laura Brown. I’m sorry I can’t take your call right now but please leave me a brief message after the tone and I’ll be sure to return your call as soon as I can. Thank you and have a great day.

That’s not to say strip all emotion and personality out of your voicemail, but be yourself! Presumably, you are leaving a voicemail with someone because you want to continue a conversation with them either by phone or in person. What will they think if the “personality” of the voicemail doesn’t match the one in more fluid forms of correspondence? Knowing how to leave a voicemail that is equal parts succinct, professional and courteous can be hard for those not accustomed to doing so.

What you do not want to do is say your phone number so quickly that the person has to listen to your voicemail multiple times to try and figure out your phone number. We have all gotten those annoying voicemail messages where the person said their phone number so quickly that we had to listen to their message several times to figure out their phone number. Most phones don’t make that as easy as it ought to be. Apple’s iPhone will back up voicemails to your computer along with everything else, but they’re stored in a funky file format that’s not easily played by most software. Most Android phones, meanwhile, store your voicemails on off-site servers.
Try to rehearse your voicemail as if you’re rehearsing for a play! Take a paper and write down all you want to convey in your voicemail. Word it properly, and give enough time to make it coherent and comprehensible. You can also read out what you want to express, as the process helps you in collecting your thoughts and putting them down in words.
