Ok, let’s see how we can make this process a lot easier – how to leave a voicemail message and not feel like an idiot afterwards, but feeling confident.
14. “Thanks for giving us a call! We promise it’s never a bad time for [company name], but you’ve reached us after-hours. Please leave us your name, number and the best time to reach you and we’ll give you a call when we are open.” Let’s face it, you’re not always open. Yet that doesn’t mean you don’t want to help your caller. Let them know you’ll call them right back when you’re open again.

Refer to your previous conversation to jog their memory, saying, "In our meeting earlier, you said something about your shipping needs that really stuck out to me. I'd love to ask you a question about that."
While both types of messages should be customized to a given buyer, voicemails should be ultra-specific. In an email, I might ask for a referral, an appointment, or feedback on a content asset they downloaded. These sorts of classic questions -- while still tailored to the buyer -- can be customized for reuse with another prospect, or another 100 prospects.
Depending on the purpose of your voicemail, these three bullets can take different forms, but if you’re checking these three boxes, you’ll be in good shape.
When recording, choose a quiet area, speak clearly, and use your full name (first and last).
As for deciding whether to use your voice or your keyboard when communicating with a client, ask yourself, who am I contacting? What am I contacting the individual for? How fast am I looking for a response? Then decide whether to call or write. The choice is yours, but keep in mind the pros and cons of each. To end the voicemail, state (or restate) your main question, then say your phone number. You can also say you’ll follow-up with an email. Now, this isn’t the same as saying, “If I don’t hear from you, you’ll hear from me!” Instead, it’s giving them another way to contact you, one they may be more comfortable with. They should still feel a responsibility to respond to your question, but now they have two options for how to get back in touch. (Then send that email, of course.)
