Please leave your name, phone number, and the reason you’re contacting us, and we will get back to you as soon as possible. Thank you. Hey, this is [your name] at [X company]. I'm either on a call or away from my desk. Please leave your name, phone number, and a short message and I'll be sure to return your call.

Bob Hofmann, of Hofmann Network Services, a voice mail and voice messaging company, says that voice mail helps companies route messages faster and the recording system offered by voice messaging reduces errors and allows complete messages to be left.
4. Engage Your Callers. It may not seem like it, but a business voicemail isn’t that different from a regular business conversation. If you create a dialogue between your callers and yourself, you’re gonna have much more engaged, upbeat, and satisfied callers.

When you leave a voicemail do not use your full name because that immediately raises a red flat that you are a salesperson making a cold call. Instead, say your first name only followed by your company name. This will make your customer feel that you are much more familiar with each other than you really are. Saying your last name would defeat the whole purpose of demonstrating familiarity.

In sales, immediate communication with your prospects and current customers is important. Being available to answer questions or further negotiate a deal allows your clients to feel secure and more apt to purchase from you. But what if you can’t answer the phone when they call? Leaving voicemails can be intimidating: The recording starts quickly, the time you have to speak is limited, and only some answering machines give you the option to review and re-record your message if you mess up. You often have one shot, and a limited time-frame, to get your message across.
State upfront how you can help the prospect. Are you saving them time or money, or helping them get promoted?
Context will make your message sound much more authentic and will result in a higher response rate.
