In sales, immediate communication with your prospects and current customers is important. Being available to answer questions or further negotiate a deal allows your clients to feel secure and more apt to purchase from you. But what if you can’t answer the phone when they call? Make sure you have a voicemail system set up so your clients have the opportunity to leave you a message.
Friends and colleagues speak to each using first names only. So do people of authority. They do not call each other and leave voicemail messages asking for Mister, Miss, or Mrs. Therefore, when you call a person you want to do business with and you leave a voicemail message, refer to them by their first name only. Don't say mister, miss, or misses. Don't say their last name. Begin your voicemail message by saying only "hi/hello" followed by the person's first name. Or, you can even forget the "hi/hello" and just say the person's first name. That is how you show confidence and authority and separate yourself from weak salespeople.
Press # to leave the greeting inactive or follow the voice prompts to activate the greeting.
Important: In some countries or regions, deleted messages may be permanently erased by your carrier. Your voice messages may also be deleted if you change your SIM card.
When your small business is closed, ensure that your callers know that! If appropriate, you might want to reiterate your business hours to manage callback expectations.

iPhone users have another option: You can send a voice message from Apple's Messages by tapping the microphone button inside the text box (this works only when you're messaging other iPhones). By default, these voice messages last for only two minutes before they are deleted, but you can change that. You can set the expiration date to Never, but this affects only your record of the conversation, not the recipient's.
