I don’t know about you, but I’m shocked every time I listen to a voicemail message left for me by sales reps, prospects and even clients. They are filled with ‘um’s’ and ‘ah’s’, they ramble on and on, they leave no compelling reason for me to call back, and they almost always leave their number so fast that I have to listen to it two, three, sometimes four times to make it out!

Departments and teams are typically organized by function – customer service, tech support, sales, billing questions, etc. When a team is busy handling other calls, encourage your callers to leave a message and reassure them that you will get back to them within a reasonable time frame. It’s important that you actually follow through to avoid upsetting your callers.

One other option might be a portable speaker that so many stores have now, that you can use to listen to music on your cell phone or tablet. They really amplify sound. At its core, sales is a people-oriented practice — so naturally, if you want to leave an effective sales voicemail, you need to sound like a person. If you sound too rigid or robotic, your message might come off as imposing or impersonal.
Note: a desk phones' voicemail greeting can only be recorded via phone, there is no way to upload or download a greeting through the online panel.

After each one, evaluate your performance. Most systems provide the option of listening to the message you just left. Doing this as much as possible will improve your performance more than anything else. Would you save that voicemail? Would you return that call? Would you return that call right away? Are you missing the basics (alternative phone number, optimal ways to get in touch, a fall-back person to call)? Did you craft it or wing it?
No one enjoys listening to long, drawn-out voice messages. When considering what to say, identify one main point and discard the rest.
