For all the above cases and more, preparing yourself and being careful will ensure that you only send professional and meaningful voicemails. Here’s how:
The tips outlined above will ensure you leave quality messages your prospects want to respond to. Go ahead and start implementing them. Rehearse multiple scripts and experiment with different approaches.
.
Finally get an answering machine. Now how does this thing work? Hmmm. Press record button, I did that, and the light should be on. I wonder why it’s not working right. Hmmmm, I wonder what this button does……
If your landline doesn’t have a way to save messages already built in, the best way to save that gorgeous message is with a recorder. But before you rush out to get it, don’t forget that most smartphones have a built in recorder. Try that first and see if it will pick up her voice loud and strong. It should save the message as an MP3 automatically, that you can send (via email or text) directly to your computer for safe keeping. If the quality is not great, then you can borrow a recorder or purchase one. We like the Olympus brand ourselves, because they save in MP3 and can upload to a computer wirelessly. We have the vtech phone/answering system indicated above. The outgoing message/greeting is of my young daughter’s voice and we would like to save it somehow. Am wondering if you have a process or can suggest how an outgoing/greeting message can be downloaded for safekeeping.
1. Tap the fixed key with the envelope graphic, or dial the phone’s phone number.
Unfortunately, the default settings on most gadgets aren’t set up to keep everything hidden or password-protected. Anyone who accesses your devices can see everything.
Before we proceed with the means to fix your voicemail not working on iPhone, it’s of utmost importance to know if voicemail is set up in the first place.
“If I leave a voicemail message on my first call in the morning, and I get voicemail again on my second attempt (either later that day or the next time I try and reach them) what do I say when that happens?”
"When closing your voicemail, say that if you do not hear from them in three days, you promise to call back. Three days later, start your voicemail (or live call if you reach the person) with, 'As promised, I am calling again to share...' Close with, 'If you haven't had a chance to return my call, I promise to call back in two days.' Two days later, call back and open with, 'As promised, I am calling back...' The message you are sending is that you keep your promises!"
If you are using a IP 400 series desk phone, press the Voicemail function key. If you are using a Cisco 7900 series desk phone, press the "Messages" button (envelope icon). If you are calling from a phone other than your own desk phone, dial your own phone number and press the * key when you hear the voicemail greeting.
If you do leave a message, ask yourself, “Would I return this call?” If you hesitate to say yes, change your message.

Most cell phones show the number and voicemail duration when a call is missed. So if the recipient sees the message is from an unknown number and only a few seconds long, they'll assume it's not important and hit delete. Since the message doesn't appear to be substantive, they're not prompted to listen.
The tone of your voice when leaving sales voicemails is almost as important as the actual words you say. If you obviously sound like a salesman, your message will be deleted before it even ends. You want to speak in a tone of voice thats friendly, confident, and casual—not overly excited, nervous, or desperate-sounding.
This is a great resource to learn how to set up my own voicemail. Thank you very much, Annemarie.
“I followed your advice on how to leave voicemail messages that get more callbacks and since using it, my call backs have increased. But my question is, what do I do with the prospects that haven’t called back?”
You probably touched on this at the end of your last conversation, but if you haven't heard from your prospect in a while, this can be a useful strategy for getting back on their radar.
