4. Engage Your Callers. It may not seem like it, but a business voicemail isn’t that different from a regular business conversation. If you create a dialogue between your callers and yourself, you’re gonna have much more engaged, upbeat, and satisfied callers.

A commonly overlooked aspect of voicemail etiquette is your own mailbox greeting. A lot of us simply set it and forget it when we first get our phones, which for some of us was when we were teens, or we don’t have anything set up at all.
Come to rely on voicemail to catch your messages, and it’ll be frustrating when it suddenly stops working.
6.) Don’t miss the opportunity to leave a specific message. There’s nothing more frustrating than listening to a voicemail that basically says, “Hi, it’s me. Call when you can!” Even if you’re just calling to say hi, make that your phone message. “Hi, Barbara! It’s Maralee! I haven’t heard your voice in too long, and I wanted to touch base and say hi. In those cases, you might like to save that voicemail somewhere other than your phone for safekeeping or sharing.
Hello. Oh hi, how are you? It has been so long. How have you been? We have to meet this weekend. How about I call you around… beep.
3. Settings menu. To access your voicemail setting menu, press and hold the 1 key or dial 123 on your device dial pad. If this doesn't work, dial 1-805-637-7249, enter your 10 digit number and while the voicemail greeting is playing, press * (star key) and enter the password.
As you look to update your script, here are a few questions to ask: Will your voicemail greeting be funny, so your callers think your business is fun? Do you want the tone to be more professional, so it gives callers the impression you only work with Fortune 500 companies? Do you want to record a brief message, or will a more detailed message be helpful? Knowing these answers will help you craft a personal voicemail greeting unique to your company.
Voicemails can add value, whether or not a prospect calls you back right away. Even if a voicemail triggers an email response or call-back six months down the line, it's valuable. We’re all familiar with this type of voicemail greeting. Simply put, a caller reaches you by dialing your number or extension directly. For an optimal personal voicemail greeting, be clear about who you are, the team you’re on, and when the caller can expect a callback. Unlike company and department voicemail greetings, you may not be able to configure a greeting for open and closed business hours. If that’s the case, use a general voicemail greeting that accommodates both scenarios.
Hi Joe. It’s Susan in Marketing. I’d like to talk with you about the budget proposal we’re sending out tomorrow. If you have time to chat today, feel free to call me back at 345-3456 or send me an email. Thanks.
5. Away/Vacation Voicemail Greeting Samples. “Hello, this is [Name] at [Company.] I will be out of the office for the week of [dates]. Please leave your name, number, and the reason for your call, and I will reply within 24 hours of my return. If you prefer, you can try me on my cell, [number].
11. “Hello! You’ve reached [company name] support line. We’ll be happy to help with your inquiry. In the meantime, have you checked out our [website, help forum, etc.]? It may have the answer you’re looking for. If not, leave your name, number and reason for your call. We’ll reach out to you within the day. Thanks for calling [company name].” Sometimes, a caller likes to find the answer to their own questions. Let them discover by directing them to your website or help forum if you have one.
Continue to test voicemails as you score your results. For example, RingDNA finds the best times to call are 6:45 a.m. to 9:00 a.m. and 4:00 p.m. to 6:00 p.m. The worst times are Monday mornings from 6:00 a.m. to noon and Friday afternoons. Try different call times and see what works for you.
