9. Update Your Greeting Frequently. Many of the things that can make your voicemail great, also require that you update it pretty regularly. Voicemail is a digitally recorded message. When you dial someone and they aren’t there, you record into a digital mailbox a digitally stored voice message to be retrieved by the owner of the mailbox. While voicemail functionality has advanced in the digital age, all systems are similar.
Professional development educator Dr. Ray Lauk sent us this great piece of advice, which he credits to veteran sales trainer Stan Piskorski:
You don't necessarily need to say “Goodbye” at the end of a voice mail, because you didn't really talk to anyone. Instead, try something like, “Look forward to talking* with you!” How do I make a personal voicemail greeting? Start with a polite “Hello”. Inform the caller of who you are, and apologize for missing the call. End your script by asking the caller to leave a name and contact number with a brief message. Inform the caller that you will get back to them as soon as possible.

To end the voicemail, state (or restate) your main question, then say your phone number. You can also say you’ll follow-up with an email. Now, this isn’t the same as saying, “If I don’t hear from you, you’ll hear from me!” Instead, it’s giving them another way to contact you, one they may be more comfortable with. They should still feel a responsibility to respond to your question, but now they have two options for how to get back in touch. (Then send that email, of course.)

I find it helpful to imagine that I am writing a memo when I leave voicemail messages. Outlining points enhances my own clarity and puts the listener on notice for the information.
A professional voicemail should be short and succinct. Simply introduce your company, ask the caller to leave their information, and let the caller know when to expect a callback.
