If you have voicemails saved on a non-smart phone, your best bet is to record them on a computer. This is a method that requires some equipment, but not as much as you might think.
Have you ever called a company’s support line just to be confronted with an unsympathetic and confusing attendant menu? Or tried to reach a representative, but pressing the “0” key does nothing?
Use the Temporary Greeting when you want to record a greeting that you plan to use for a limited time (for example an out-of-office greeting). Press the Message Key. Enter your password, followed by the # key. Press 0 for Mailbox Options. Press 4 to record your Temporary Greeting After the tone, record your temporary greeting. Press # when finished. Follow the prompts to confirm or record the greeting again.
This is a tactic we picked up from Jeff Hoffman and it works because it makes you more memorable and makes your messages seem genuine and less rehearsed. Give it a try and see if it will work for you too!
Be brief. Don’t make your listener resent you for leaving a 5 minute long message. People are busy. Listening to 5 minute phone messages is not on the top of their priorities and wastes their time. Many callers seem to think they are the only person in the world leaving a voicemail for a particular person. Yet a dozen other people feel the same way and a man ends up holding the phone to his ear for an hour.
This voicemail greeting should list the name of the department, the hours of operation or the whereabouts of your personnel, the protocol for following up with the customer, and another way to get in touch with the department. You've reached the Delivery Department of Wringley Furniture. All of our personnel are currently occupied on the floor. If you do leave a message, ask yourself, “Would I return this call?” If you hesitate to say yes, change your message.
Next, tell him the name of the company you work at. Something along the lines of, "John this is Mark at Pinnacle."
You’ve worked hard on your application. You’ve double- and triple-checked for spelling errors and you know you are a perfect fit for this job. You’ve followed up on your application and made such a great impression that the employer decides they want to call you in for an interview. You are checking your phone, anxiously awaiting the call…but nothing seems to happen.
Consider leaving your e-mail in addition to your phone number. People like choices. Some people like to have conversations on the phone, while others prefer communicating through e-mail. You don’t know what kind of person your listener will be, so leave the option on the table. For many, e-mail correspondence is less threatening and might actually encourage them to reach out to you.
