That’s why it’s critical that each customer interaction with your business is consistent, positive, and represents the values and personality of your company. This includes your storefront, website, social media presence, emails, and every interaction you have with your customers, both online and in-person.
Rehearse your greeting a few times before you press record. Plan your pauses and select natural places to take a breath. If you are recording directly into your phone don't hold it to your ear like you are talking on the phone. This can produce a muffled tone. Hold the phone out in front of you a few inches from your mouth for the clearest recording. This may require some trial and error. So playback your greeting and make necessary adjustments on your re-record.

Hi! John’s answering machine is broken. This is his refrigerator. Please speak very slowly, and I’ll stick your message to myself with one of these magnets.
“(Intro) I’m calling regarding the voicemail I left you (earlier today/yesterday) about (example: how we recently helped competitor 1, 2, and 3 avoid ______ while ______) and wanted to see if it would make sense for us to have a conversation to determine if what we do would be of some help to you as well. If you’d like to discuss this further you can reach me at __________. I’ll send a follow up email to this message so if it’s easier to reply that way you can or if you’d rather talk via the phone, again, my number is _________.”
Note: If necessary, delete an existing greeting (limit of 2 greetings) to make room for the new greeting: Tap the Menu key, tap Delete greetings, tap the check box next to the desired greeting, and then tap Delete. Tap the Record icon to record your greeting. Tap the Stop recording icon to stop recording.
I assume it’s safe to say you’ve gotten really busy or this isn’t a top priority for you at the moment so I’ll take you off of my call list as to no longer interrupt your day.
From the Skype for Business desktop app (if you are running Click-2-Run build C2R 8201.1002 or later), select Set Up Voice Mail. Change your Call Answering Rules You can change what options your callers have when they reach the voicemail service; get disconnected, hear your greeting, record a message, choose to be transferred to the number or user you select. Change your prompt language This is the prompt language that is played to callers. For list of supported languages, see Languages for voicemail greetings and messages from Skype for Business. Configure your Out of Office greeting This is the customized greeting message that is played to callers when your status is Out of Office. This option can be activated "Always," when you have an active "Auto Reply" in Outlook, or whenever you have an out-of-office calendar appointment. Where you can get your voicemail messages from
Increase the odds of getting a call back by mentally composing your message before each call. And remember, people hate it when callers state their name and phone number too quickly in voice mail messages – no one wants to listen to a message ten times to comprehend simple information. Begin by saying your name and company (if applicable). Then assume the person you’re calling doesn't have your number, so say your phone number twice. If your name is at all unusual, spell it the first time you say your phone number. Talk slowly like you were writing it down yourself. The second time you say your phone number, you can say it at your normal rate of speech. A gracious phone message is no longer than 30 – 45 seconds. Be pleasant, but also get right to the point. Keep your voice mail message to two points maximum. If you need to share more information, then say you will send an e-mail message with the rest of the details. Leave a specific message. There’s nothing more frustrating than a voice mail that says, “Hi, it’s me. Call when you can!” Even if you’re just calling to say “Hi”, tell them that in your message. End on a high note! You don’t necessarily need to say “Goodbye” at the end of a voice mail, because you didn’t really talk to anyone. Instead, try something like, “Look forward to talking* with you!”
In the video lesson, I shared this example for a common voicemail greeting in English:
“Hello! You’ve reached the voicemail of [your name], [your job title]. I’m currently either away from my desk or on the other line. Please leave your name, telephone number, and a short message after the beep, and I’ll be sure to get back to you as soon as I’m available.”
Save the highest-rated voicemails. And be honest about which ones you would delete. Those are the ones that need your attention. Separate those elements that need help, and focus on one at a time until perfect voicemails become second nature.

A separate after-hours attendant menu can inform callers that your office is closed, state your business’ operating hours, and provide options that callers can immediately act upon. For example, you can direct them to your website for FAQs. If your business provides an account login page, remind your customers that they can login at any time to get general account information. In this situation, be proactive.
Voicemail is an automatic answering service offered by your phone service provider. After you subscribe to this service, your phone service provider’s voice mail system answers calls for you when you are unavailable to answer the phone or when your line is busy. When a message is recorded a notification is displayed.
Go the Audio Input tab and opt for the Microphone. Make sure that you move the mobile phone’s earpiece or speaker close to the Microphone as possible.
You should also research other people in the prospect’s organization. Selecting the right people, such as the prospect’s manager or department head, facilitates the ability to build rapport and adds a sense of urgency when you mention them in the voicemail.
