If your business is off for a holiday, it's a common courtesy to update your voicemail to acknowledge the closure. Mention the closure in the beginning of the message, convey when your business is reopening, and don't forget to wish the callers a happy holiday if the occasion calls for it. If you're away from your office, check your voicemail remotely to keep up with incoming messages if necessary. Or get voicemail to email capabilities set up on your phone system. Thank you for calling Merlow Plumbing. We are closed for Christmas from December 24th, 2015, until January 2nd, 2016. Our normal business hours are Monday through Thursday, 8 am - 6 pm. It's easy to imagine the caller hanging up, dialing another prospect, and leaving an identical voicemail using the exact same high pitch, and then another … and another. If it sounds like a salesperson is just doing their 50 prospecting calls for the day, it absolves the listener of any responsibility to respond.

As I said, I use a “3 strikes, you’re out” rule. You may find that 4, 5, 10 or 20 works best for you, but for me, it’s 3.

Once you have found the delete or re-record option, choose one. You can either delete your message completely or record a new message. Be sure to properly word your voicemail this time so that you don’t have to repent later on!
4. Reset your pin. Maybe you have forgotten your pin or passcode or you never set it up in the first place. This is a common issue. Most carriers have detailed instructions for changing passcodes. For example, to change a T-Mobile passcode, hold down the "1" key, then press the star key, and then press number 5 to go into passcode security. Then press 1, and you will be able to change your passcode. You can change your Sprint passcode online by choosing the my preferences tab and then the "things I can manage online" section. You can reset your pin by calling the carrier if you have forgotten it or never set it up at all. Some sites allow you to do this online.

Rehearse or write down your message before recording it. Remember that old saying “practice makes perfect?” It’s certainly true when it comes to creating an electronic greeting. The more you’ve rehearsed, the easier the message will be to restate. If you don’t have time to practice, writing down the greeting before recording it – and then reading it aloud from the paper – may help you stay focused on the correct wording.
