Avoid piecing your voicemail together on the fly — as I mentioned earlier, a good one is backed by preparation. So prepare, prepare, and prepare some more.

Rehearse or write down your message before recording it. Remember that old saying “practice makes perfect?” It’s certainly true when it comes to creating an electronic greeting. The more you’ve rehearsed, the easier the message will be to restate. If you don’t have time to practice, writing down the greeting before recording it – and then reading it aloud from the paper – may help you stay focused on the correct wording.
Ok so let’s say you’ve made a few calls and have left several messages and you don’t want to leave another one… if that’s the case, at least hang up before the end of their “leave a message after the tone” instructions so that they don’t get notified of a voicemail just to hear you hanging upon them.
Having a reference sheet will help you stay focused while delivering your message. Make sure to keep your outline concise; only include the essential points that you intend to cover in your message.

3. "Hey, this is [your name]. If you're calling for [X reason], please [contact so-and-so] or [go to our website, send me an email]. For all other inquiries, leave your name and a brief message and I'll call you back within [one, two, three] business day[s]."
It’s better to say “I apologize” instead of “I’m sorry,” as the former is more effective in conveying your regrets without needing long explanations.

Get to why you’re calling. Did you have a question you couldn’t find the answer to online? Are you inquiring about future business? Are you weighing your options about a purchase between a few different companies? State it clearly so the recipient of the call knows how to proceed.
