I remember hanging up the phone every time I heard a Voicemail message. I froze with fear and couldn’t speak.
3. "Hey, this is [your name]. If you're calling for [X reason], please [contact so-and-so] or [go to our website, send me an email]. For all other inquiries, leave your name and a brief message and I'll call you back within [one, two, three] business day[s]."
We've all heard that automated voice mail lady, telling us what to do after the beep. But fewer people than ever are leaving messages. And the millennials, they won't even listen to them — they'd much rather receive a text or Facebook message.
First, call your prospect and leave a concise 15-second message. This voicemail should include the bulk of the information you want to share: your reason for calling, benefits to the prospect, etc.
OUTGOING VOICEMAIL MESSAGE Thank you for contacting [NAME OF PRACTICE/OFFICE]. The health and safety of our patients and staff is our top priority. Due to the COVID-19 pandemic, we are following the guidelines of the Centers for Disease Control and are only responding to urgent eye care needs.
Clearly state your purpose and next steps. Whether it’s a demo, an appointment, or the best contact to talk to, simply ask for it.
You can reach me by calling (your number). That number again is (your number), and ask for _________. I look forward speaking with you and thanks in advance for returning my call.”
If after 2 solid phone/voicemail/email attempts (which counts as 6 touches, not including any drip emails or LinkedIn messages/connection requests that they may have gotten in between calls 1 and 2) I’ll leave a 3rd voicemail message (followed by an email, of course) that simply says something along the lines of:
7. Identify Yourself And Your Business. When you call someone for the first time, unless you know their voice, you really have no way of making sure you actually called the right number.
Press one if you’d like to leave a message. I’ll be glad to return your call as soon as I can. Right. And Santa will bring you toys if you’re a good little boy.
Avoid telling your prospect what to do. You'll make returning your call seem like a chore or, worse, a demand. This should feel like a mutually beneficial relationship -- one in which each party wants to call the other back -- unprompted.
“Hi _________, this is _______ ________ again with (your company). For some reason we haven’t been able to connect since I sent you (your demo, proposal, etc.), and believe me, I’ve been sales long enough to know what that probably means. I’m assuming you’ve either found another solution or this has been put on the back burner for now. Either way, that’s fine.
