As you practice and score your sales voicemails, you’ll start to determine some best practices. Write these down, and use them as an outline for future calls. Here are a few of my best practices.

While missed calls aren’t ideal, you can let your caller know you’re still there for them by having a great voicemail greeting. The best business voicemail greetings let your customers (and potential customers) know why you’re not available and how they can best get in contact with your business. They are also short and to the point. You usually want to keep your greeting between 6 and 24 seconds long so callers don’t hang up halfway through.
Departments and teams are typically organized by function – customer service, tech support, sales, billing questions, etc. When a team is busy handling other calls, encourage your callers to leave a message and reassure them that you will get back to them within a reasonable time frame. It’s important that you actually follow through to avoid upsetting your callers.

Avoid telling your prospect what to do. You'll make returning your call seem like a chore or, worse, a demand. This should feel like a mutually beneficial relationship -- one in which each party wants to call the other back -- unprompted.
A monotone voice can be a turn off for a caller. You want your caller to feel like they missed out on speaking with you — not like they dodged a bullet.
For example: “Hi this is Anna Smith. I am a local loan officer who wants to help you accomplish your financial goals, like living in your dream home. I would love to talk to you about your goals, and see how I can help you throughout the process. Give me a call today at XXX-XXX-XXXX.”

I know you probably thought of this, but did you ever record the message someplace else or possibly have it playing while shooting a home video during a birthday or an anniversary? Probably a remote possibility, but you never know. Since you didn’t record over it, there might be a possibility of retrieving it. I really hope so! Please let us know what happens.

In the U.K. and most of Europe it is considered good manners to leave a slightly longer answering message as it gives the person time to adjust to the fact that they've been put through to an answering machine, compose a message in their head and then get ready to speak. It also leaves the caller with the impression of someone who is calm, composed, polite and not rushing around like a chicken without a head.
