Be brief. Don’t make your listener resent you for leaving a 5 minute long message. People are busy. Listening to 5 minute phone messages is not on the top of their priorities and wastes their time. Nobody wants to listen to a long-winded voicemail. Keep your greeting short, simple, and concise. A voicemail message should pique a client’s interest and leave them looking forward to your call. Stick to the basics, explaining your company name, hours of operation, and when to expect a callback.

5. “Hi, you’ve reached [company name]. We can’t take your call right now but we will call you back as soon as we’re available. Please leave your name, number and reason for your call. We know your time is precious, so to skip the back and forth, kindly leave a few different times of day that work best with your schedule and we will do our best to reach you then! My first tip for you today, is to write it down and when you are ready to record simply read it out.
If you do leave a message, ask yourself, “Would I return this call?” If you hesitate to say yes, change your message.
So my new Voicemail message would be something like: Hi, this is Milena. Please know I check my Voicemail once per week. You may leave me a message here and I will call you back later in the week or preferably, you can send me an email to [email protected] and I will reply to you asap. Thank you
