If you don't create call answering rules, incoming callers will be sent directly to your voice mail when you’re not available.
Grab your mobile phone and dial your voicemail box number, and key in your login credentials.
If you're in need of some more tips, here are some additional soundbites you can use when ending a voicemail.
Find some common ground. If you’re cold calling someone, your voicemail is your 30 second chance to make a connection and leave a good impression. One of the best ways to make a connection in that short amount of time is mentioning a mutual acquaintance. You could also mention a shared affiliation with an organization.
Increase the odds of getting a call back by mentally composing your message before each call. And remember, people hate it when callers state their name and phone number too quickly in voice mail messages – no one wants to listen to a message ten times to comprehend simple information. Begin by saying your name and company (if applicable). Then assume the person you’re calling doesn't have your number, so say your phone number twice. If your name is at all unusual, spell it the first time you say your phone number. Talk slowly like you were writing it down yourself. The second time you say your phone number, you can say it at your normal rate of speech. A gracious phone message is no longer than 30 – 45 seconds. Be pleasant, but also get right to the point. Keep your voice mail message to two points maximum. If you need to share more information, then say you will send an e-mail message with the rest of the details. Leave a specific message. There’s nothing more frustrating than a voice mail that says, “Hi, it’s me. Call when you can!” Even if you’re just calling to say “Hi”, tell them that in your message. End on a high note! You don’t necessarily need to say “Goodbye” at the end of a voice mail, because you didn’t really talk to anyone. Instead, try something like, “Look forward to talking* with you!”

After you have stated the nature of your call, you want to be sure to close out your voicemail confidently. If you say something similar to “please call me back”, or “I really need to talk to you” you run the risk of coming across overly excited and potentially a little desperate.
“Good afternoon. You have reached the office of [your name]. I will be out of the office beginning on [date] and will be returning on [date]. Please leave a brief message with your contact information, and I’ll be sure to get back to you as soon as I return on [date]. If this is an emergency or you need to speak with someone before I return, please contact [name of colleague/supervisor], [their job title], at [their phone number].”
6. Write It Out And Rehearse. Unless you’re part of the 1% of people who love and excel at public speaking, you probably have a hard time conveying an unscripted message without a few pauses and 'um's here and there.
Find a piece of connective tissue, such as an alma mater, a favorite sports team, or a common pet (I’m a dog lover, personally). This opens the conversation and shows that you’ve done your research.
You can choose where you would like to store your voicemail and fax messages—in the Calling User Portal or to a specified email address as a .tiff file. 1
Honestly this is just common sense if you stop thinking about yourself for a second and instead consider what it is like when you call someone expecting to talk to a person, and instead get put through to a machine. It takes a little time to change gears, mentally identify the key points and compose a message. lucabrasi Aug. 2, 2014 12:55 pm JST
