It's never been more important for salespeople to be good at leaving voicemails. Not only that, but voicemail can — and should — be measured, coached, and improved. First, let's review general voicemail etiquette. Keep your greeting up-to-date. Let callers know when they can anticipate a response. Share your name and company affiliation. We strongly recommend you change your voicemail password as soon as possible. By default, it is your extension number. Anyone who knows this can access your mailbox through the web and listen to and delete your messages, see your call logs, and modify settings on your extension. Press the Message key. Enter your password, followed by the # key. Press 0 for Mailbox Options. Press 5 to change your password. Please enter your new password, followed by the pound key. Re-enter your password followed by the pound key for confirmation. If everything is correct, the system will tell you your password has been changed.
If you don't create call answering rules, incoming callers will be sent directly to your voice mail when you’re not available.
Many of these sites offer to write your voicemail script for you, but you’re welcome to write your own. Whatever you decide, there are many options to suit your needs.
Your voicemail should be very specific. It should be short and urgent. Use word's like "need", "should", "must" , or "have to" to create a sense of urgency. For example, say something like, "We need to discuss..." or "We should talk about..."
The length of your voicemail plays a big role in its efficacy. Try to keep the length of your voicemail between 15- 30 seconds. Anything more and you will be rambling, anything less, and you’re probably not checking one of the three boxes above as effectively as you need to.
11. “Hello! You’ve reached [company name] support line. We’ll be happy to help with your inquiry. In the meantime, have you checked out our [website, help forum, etc.]? It may have the answer you’re looking for. If not, leave your name, number and reason for your call. We’ll reach out to you within the day. Thanks for calling [company name].” Sometimes, a caller likes to find the answer to their own questions. Let them discover by directing them to your website or help forum if you have one.
Or, if they need to refinance, tell them that you know about current rates. And, you can provide them with guidance on if the timing is right. Staying honest and genuine will give you credibility and encourage them to return your call. After all, you are trying to become their trusted advisor, and the voicemail is the first attempt at this.
