It also ensures that, in the age of voicemail transcripts, your number stands out at the end of your message. And because most phones link to numbers automatically, all your prospect has to do is press the number provided at the end of the transcript to easily call you back.
This ensures understanding and helps the prospect write it down accurately. However, donât repeat yourselfâsay the same thing in a different way.
I like to say my phone number very early so the person can hear it again quickly by starting the message over and does not have to listen to your entire message again to hear the number. But do repeat your telephone number at the end of the message at least once and speak very s-l-o-w-l-y so the person can write it down as they listen. If you don't get a response to your first voicemail, don't hesitate to record a similar message once a week for two or three weeks. This sounds a bit excessive, but my experience has been that if there is even the slightest chance of meeting someone now or even in the near future, this kind of message will get their attention.
State your name first. You would think this would be so basic that it shouldnât even be mentioned. However, I canât count the number of times Iâve gotten voicemails where people go on and on and I donât even know whoâs talking to me until the very end. Pretty annoying.
Thatâs not to say strip all emotion and personality out of your voicemail, but be yourself! Presumably, you are leaving a voicemail with someone because you want to continue a conversation with them either by phone or in person. But before you rush out to get it, donât forget that most smartphones have a built in recorder. Try that first and see if it will pick up her voice loud and strong. It should save the message as an MP3 automatically, that you can send (via email or text) directly to your computer for safe keeping. If the quality is not great, then you can borrow a recorder or purchase one. We like the Olympus brand ourselves, because they save in MP3 and can upload to a computer wirelessly. We have the vtech phone/answering system indicated above. The outgoing message/greeting is of my young daughterâs voice and we would like to save it somehow.
