The voicemail. This technology is often shunned by the younger generation in favour of texts or emails but it still plays an important part in our professional communication. Whether youâre interested in a job opportunity, following up with a company, or calling in sick for work, leaving a voicemail message is likely to be something that you will have to do often throughout your job search and career.
Donât be too hard on yourself. Chances are, that voicemail that youâve recorded and deleted thirty times has been just fine. Your main goal is not to get in the way of the caller leaving a message, which is exactly what can happen if you overthink it or drone on too long.
I have a confession to make: I havenât recorded a new voicemail greeting since 2014. In the past four years, I (hopefully) have become more articulate, poised, and self-assured. But hear my voicemail recording, and youâd think I was still new to the work world, a little unsure of myself â and probably not an authority. Obviously I need toupdate it. And if you havenât changed your voicemail greeting in over a year, youâre likely in the same boat. After all, a professional voicemail recording boosts your credibility, makes you seem more competent, and encourages whoeverâs listening to it to continue the relationship. A relatively unprofessional one â like mine, for instance â does the opposite: It encourages prospects, recruiters, and potential connections to run in the other direction. With that in mind, Iâve written 18 unique voicemail greetings for every situation. Pick your favorite, practice a few times, then record your new voicemail.
The phone you use to record your greeting â and your surrounding â can turn your carefully scripted greeting into an unprofessional mess. Background noise is terribly distracting, so choose a quiet room or parked car to make your call. Landlines, or a âwi-fi enabledâ cellphone call, can provide much better connection quality than a standard cellphone. If you must use a cell phone, be sure to use a high-quality headset for the best clarity.
2. Write down a script for your greeting. You want to create a script that you can read from while recording your voicemail. By having something to read, you can relax and âŠ

Hi there! Youâve reached the sewer on the next street. I canât get to the phone right now, but if you take a wee walk, Iâll be at the sewer grate with the red balloonâŠfloating. Please feel free to join me.
If you are ready to record your voicemail greeting, you should already have a solid script. Whether you include your mission statement, some fun personal details, or a favorite quote, making your voicemail greeting personal is a great way to set your business apart. Write down what you're going to say, but try to avoid reading it verbatim as you record, or it may start sounding robotic and rehearsed. When listening to your voicemail greetings your callers shouldn't feel like they're listening to an impersonal recording. Keep it conversational. If you need help achieving that conversational tone, check out these tips.
6. Access your greeting or recorded name settings. Next, press the key on the dial pad that corresponds to options for your greeting or recorded name. In this case, it's 3.
With all these things to include, it's easy to write your greeting the wrong way. To keep it simple, something like this:
Just like the importance of conducting yourself professionally in person and over email, you want to make sure that if an employer is trying to contact you, that they receive a professional greeting, even if you arenât able to answer the phone right away.
Iâve got you covered. Iâve compiled some of the best voicemail greetings you can use for virtually any situation youâll come across.
