Put some thought into your message before you hit “record.” It takes very little time to write a script for yourself to read as you record your greeting. Reading off a script eliminates unnecessary pauses, “ums” and “ahs.”
Listen to your messages and return your calls as soon as possible. Of all the lines of communication available (social media, text, email, etc.,) your callers resulted in picking up the phone to call you because they wanted to speak with a live person. Do them the common courtesy and give them a call back when you first have the chance.

Most mistakes are made right at the beginning. Many people do not know what they are going to say in advance and so they try to make a voice mail recording on-the-fly. Even only having a general idea of what you are going to say won’t really cut it. These types of greetings lack professionalism and sincerity. Write out your voice mail greeting word for word in advance and be sure to include information like: – The type of information that you need to return the call (name, number, details, etc)

As in the situation above, a full mailbox can be really frustrating for an employer who is trying to get in touch with you. Set aside time at least once a week to make sure you clean out your voicemail. You want to be as accessible as possible for potential employers. I’ve called a few job seekers lately to help with their search and have gotten this message, “We’re sorry. The person you are trying to reach has not yet set up their voicemail system. Please try again later.” This makes you look a little lazy and can frustrate the hiring managers. As soon as you get a new phone, make sure you make it a priority to get your voicemail up and running. Definitely make sure you have it set up before you start sending out job applications. I understand this could slip your mind, but it’s important that you do everything you can to show the hiring manager that you are reliable and reachable.
For example, you could say something like “Would you like to know how we could do this for your company, too?” in order to incentivize them returning the call.
