When someone is trying to reach you and they can’t get you on the line, they want to leave a message right away and get on with their day. If your voicemail greeting goes on for minutes on end, chances are they aren’t going to stick around until they hear the beep.
Following up with an email? Let them know at the end of the voicemail that’s what you’ll be doing.
Your voicemail should be very specific. It should be short and urgent. Use word's like "need", "should", "must" , or "have to" to create a sense of urgency. For example, say something like, "We need to discuss..." or "We should talk about..."
Simply speak into your phone or computer while recording a greeting with your business phone service. If you need to create your own audio file, the voice memo app on your phone should do fine.

Leave your name, number, the reason for your call today and the best time to call you back. I’ll speak with you shortly! ” Your caller probably wanted to reach you, not your voicemail. Advise your caller that you’re simply on the line with another caller and you’ll be right with them.
You want this experience to be a positive one for the caller. Make sure your voicemail provides information such as your hours for operation and additional contact information. You’ll also want to address when the caller can expect your call or list other ways they can get in touch should you not answer.
