If you are going to use your own phone to record your greeting, be sure to use a land line. Cell phones can’t always be trusted to produce a high quality sound and often the callers will hear distortion, static, or flight information in the background because you decided to record a new message while waiting for your plane at the airport. Always use a land line in a quiet setting to make your recording.
By asking for information such as full patient name, date of birth, and phone number, you can increase your chances of being able to successfully return a call, even if the message is difficult to decipher.
Your voicemail doesn’t have to be monotonous or impersonal. What you need is something that is unique to you but works in a professional manner.

The next step is very important and you need to get it right. Say your phone number two times very slowly so the person has enough time to write down your number as they are listening to your message the first time.
The biggest barrier is actually getting them to leave the voicemail in the first place. Don’t get in your own way by recording a long, drawn-out voicemail greeting that might do more to convince them to hang up than actually leave a message.
You may think your voicemail message is professional. But when you listen back it could sound rushed or shaky. Listen to it regularly to see if changes are needed.
