To improve a a business voicemail greeting, keep these eight rules at the forefront of the creative process: Avoid turning customers off with overused and impersonal phrases like “your call is very important to us..." Avoid leaving customers unsure by not immediately telling them the business, department, and/or person they’ve reached. Avoid leaving customers confused with too many details and complications; just keep it simple. Avoid messages longer than 25 seconds. Do apologize for being unavailable at the moment. A good voicemail greeting is short and professional, lets people know that you’ll get back to them, and invites callers to continue engaging with a call-to-action. You should also show your personality if you’re in an industry or role that allows that. If your industry is more conservative, however, you’ll want to keep humor and personal touches to a minimum. You may be tempted to just record the message and be done with it. Remember, however, that this message will potentially leave a lasting impression on first-time callers. Take a little time to practice your speech, pronunciation, and tone of voice. You want to sound your best!

Listen to your messages and return your calls as soon as possible. When someone is trying to reach you and they can’t get you on the line, they want to leave a message right away and get on with their day. If your voicemail greeting goes on for minutes on end, chances are they aren’t going to stick around until they hear the beep.
Your voicemail is important. This is probably one of the first things that will give your Placement Consultant and/or employer their first impression of you. As such, it is essential that you make sure your voicemail message is as professional as possible. When going through the application and interview process you should avoid these situations:
“Congratulations! You’ve reached the right person! It’s [your name]. Unfortunately, you’ve called at the wrong time. Please leave a message with all your contact information, and I’ll call you back within 24 hours.”
