1. Share basic information: “Hello! You’ve reached the voicemail of [your name], [your job title]. I’m currently either away from my desk or on the other line.
My wife and I can’t come to the phone right now, but if you’ll leave your name and number we’ll get back to you as soon as we’re finished.
I am not a voice talent, and I hate the sound of my own voice. Every time I lose my cell phone (daily), I call it from another line to help myself find it. And every time I do this, I wish my voicemail message sounded…different. I’m always reminded that I should sit down and rerecord it, so it makes a more professional first impression.
You may think your voicemail message is professional. But when you listen back it could sound rushed or shaky. Listen to it regularly to see if changes are needed.
Use your judgment to choose times that will be best for them based on what you know to be true about their industry and work environment.
To be safe, a great tactic is to state your phone number and then repeat it. This eliminates any guesswork if the person on the other end has trouble understanding the number when you first say it.
When someone reaches your voicemail, it’s important that you help them confirm that they have reached the right person by providing all of the relevant information that they will need. Who have they reached? Did they contact the right person and the right business? Should they leave a message? When will you get back to them? Is there a better time for them to call?
