2. Write down a script for your greeting. You want to create a script that you can read from while recording your voicemail. By having something to read, you can relax and sound polite and confident. Start with a polite “Hello”. Inform the caller of who you are, and apologize for missing the call. End your script by asking the caller to leave a name and contact number with a brief message. Inform the caller that you will get back to them as soon as possible. You can also sign off with a friendly “Have a nice day,” if you wish.
Nobody wants to play phone tag. Skip the back and forth by explicitly telling the caller to leave their name, number, and the best day(s) and time(s) to reach them. Your clients will appreciate you not wanting to waste their time.
Just in case you fall victim to mumbling or speaking softly in your voicemail message be sure to repeat your contact information at the beginning AND end of your message so that the listener is more likely to be able to pick up on the information. This helps if you are speaking quietly or if the listener was not ready to record your information when you said it the first time. Repeating your information will save the listener time as they will not have to listen to your message again to get those details.
Another point you want to bring up in the first few seconds of your call is why the person should keep on listening.
3. Department Wide Voicemail Greeting. This voicemail greeting should list the name of the department, the hours of operation or the whereabouts of your personnel, the protocol for following up with the customer, and another way to get in touch with the department.
Instead of having the typical “You’ve reached ABA Corporation. Please leave your message after the beep”, make it unique and interesting.

4. Limit background noise. You want your voice to come through crisp and clear, so make sure that there’s no noise in the background like a radio, tv, or people talking. The best place to record your voicemail is in a quiet room that’s away from excessive noise. Smaller rooms will also work better as there won’t be as much ambient sound as in a large, open space.
