In a role where I got many OoO replies, I actually loved this. (And wrote back in said language. And got a reply!)
The boss’s thinking was that people who did drivebys looking for you would then email you, see your OOO, and then be able to call you to talk about whatever they were driving by for. No one liked putting their personal contact info so we never worked from home (pre-COVID and pre-VOIP implementation) or told people to IM us and we’d call them.
Set a minimum delay for auto-responses. For example, if you set a minimum delay of 1, the eDesk will send the OOO template 1 minute after receiving the customer’s message. If you don’t set a minimum delay, eDesk will auto-respond immediately upon receipt of a message.

What we need in our work communication is not more professional politeness or less formal, chat-based messaging applications like Slack. We need honesty. The problem is that we’ve conditioned ourselves to see honesty as self-indulgent or disrespectful. I’d argue the opposite is true. Honesty, even if it’s a bit more inconvenient for all parties in the moment, pays dividends later. It builds trust. When my partner Anne Helen Petersen and I were interviewing people for our forthcoming book on remote work, a frequent lament from both middle managers and workers was that they didn’t feel like they knew how to succeed in their jobs; that they were guessing what their superiors and coworkers wanted and, even when they asked, they didn’t quite trust the responses they got back.
“Hi, Thank you for contacting me. I’m currently out of the office for a conference and will not be available until [date]. I’ll get back to you as soon as possible.”
My colleague does that just for holidays.. it does say who else to contact, but tbh if I’m emailing him a couple of days before he’s due to return then I’m not massively impressed at the insinuation I should take the action of remembering to resend it… in reality I think he probably does read *some* emails but clearly views the OOO as a way to absolve responsibility if he misses something..

You don’t have to stop using OOO messages. Instead, they need to be used wisely. It’s okay to suggest an alternate contact while you are unavailable or add a date when you will be back in action. Just skip the details about why you set up the out of office message. No one needs to know that your son is getting married in Paris. Remove any personal details in that message, including personal cell phone numbers or an alternate email where you can temporarily be reached.
By now, your neighbourhood supermarket is probably already blasting the classic Christmas tunes, your favourite colleagues are on vacation many miles away, and you’re counting down the days till you get to clear your annual leave 😏
Does this only work with contacts saved in my phone? I’m trying to get an auto response to prospective clients whom I don’t have saved in my phone.
