An out of office message is simply an automatic response to all incoming emails. You can set it up prior to leaving on vacation or taking a sick leave.
Just kidding, I'm not in Hawaii. How awesome would that be though, right? Instead, I'm enjoying a peaceful vacation in my living room. That being said, I'm not in the office right now, and will respond to your email after [date].
In this image, you’re letting people know you’re OOO with a “Missing” notice on a milk carton. Genius. Just be careful — this sort of autoresponder is best for internal emails, not for autoresponders that get sent to prospects and clients.

When you update your voicemail or turn on your email client’s out-of-office greeting, there are three basic things you must share in your message: When you’re leaving, when you plan on responding to your messages upon returning, and who they can contact if they need to talk to someone right away.
Note: If you don't see Automatic Replies, use Rules and Alerts to set up your out-of-office message.
As with a regular cold email, the best way to utilize your out of office message is to offer something of value to your client. So, for whatever reason you’re out of the office, your email inbox should be informative with any information about office closures or unexpected absences: Include an expected return date and time. Offer alternative point of contact and their details. Add the general office contact number and email address if you don’t have a specific point of contact. Be friendly and warm in your tone, even if you choose to keep it simple.
Both your customers and your employees need to know how long your business will be shut down for the holidays. Provide notice well in advance. Depending on the types of services you offer, you may need to start notifying customers as early as a month out. It would be best if you were to provide these important notifications at least two weeks before the holiday shutdown. Employees should also be reminded regularly that the company will not be open during those important days.
Whether you prefer to keep it simple or have a little fun with your OOO message, it’s always essential to include the basics so you don’t have a mountain of emails to respond to when you get back. Then, all there’s left to do is stay out of your inbox and enjoy your vacation fully!
