Perhaps I’m you guys’ worst nightmare, but for the past couple of years I’ve been writing haikus for my OOO, which give a flavour of what I’m out doing. A couple of examples:

1) Communicate when a person will be back, or if they are out for an indeterminate period of time, tell me who I should be contacting instead 2) Communicate what I should expect. (For example, when I do my monthly reports, I have an out of office message that says that I’ll be slow to respond. I *will* actually check my email at least a couple of times, but I generally won’t respond to anything non-urgent.) 3) If the person is in a job that handles urgent requests, list who I need to contact instead if it can’t wait until they get back.

I will be out of the office for a week and will be back on [DATE]. I am planning on hitting the gym hard during those free days. However, don’t expect any change when I’m back (plans often get forgotten).
I’m with you on this one. Management has access to a mansion and a townhouse in two different fabulous vacation destinations and it burns my butt every time I see an out of office from one of them (98% white men) going on about how they’ll be enjoying this perk. In the meantime, a few years back we had to eliminate free coffee at the offices because business was not good enough (it was eventually brought back after company president realized after a year that people were really pissed).
Hi, Thank you for your email! I am on vacation until [MM/DD]. Vacations are not for checking email, so I won’t be doing that. During my absence, please contact [name] at [email] or [phone] because she’s checking email. Not me. Really, I’m not checking email.

I've been told it makes people very jealous, in a happy-for-me sort of way,” she says. A typical auto-response from her reads: “OOO: Busy eating my body weight in gelato. You might receive multiple emails from coworkers and clients if you’re not specific about your absence dates, which will clog your inbox and make it hard for you to remain productive when you get back.
As a person who hates voicemail, I applaud this. Send me an email. Give me a paper trail.
“Thank you for the message. I am currently out of the office and will not be back until [date]. I shall reply to your message as I return. Should you require any immediate assistance, feel free to contact [person] at [phone number] in my absence. Have a wonderful holiday season.”
Confirm any expected deliveries will not be left at your door or unattended. Reschedule if necessary.
Many in the MIT community will be taking vacation around the holidays and new year. If you’re in that group, you’ll want to set up automatic replies for your email and MITvoip phone. I personally like it. Of course, the emails that I’ve seen still say what to do if the matter is urgent and needs to be handled now — but as a person who gets 100+ emails a day, whether I tell you I’m deleting all of them when I get back or not — if it is in the thousands of emails that might accumulate in the time I am off, I’m not going to see it or respond. Better that I tell you now that you are going to have to resend the email after I return (or get my backup to handle it now) than you sit around waiting for a response that is never going to come. It is actually pretty common in my industry for any absence two weeks or more.
I mean, sometimes I put up an OOO because I’m on vacation and not checking email. Sometimes I put one up because I’m travelling for work and will only have sporadic access to my laptop, but might get to check once or twice a day. In my role, it’s important to make that distinction. Maybe it’s not so important for other people.
